Privacy notice

What Vectadiff stores, where it lives, what is sent to an AI provider and how deletion works. Last updated October 28, 2026.

In short: your drawings, takeoffs and bid numbers stay isolated to your company. Your pricing is never sent to an AI service, and we don't sell or share your data.

What we hold

  • Drawings and specs you upload, and everything made from them: sheets, scales, takeoff shapes and quantities.
  • Pricing and bid data: unit costs, line items, markups, alternates, totals and exports.
  • Account details: your name, email, company and role.
  • Early-access requests: the name, work email, company, trade and role you send through the form on our home page. We use them only to reply to you about Vectadiff.

Your bid numbers and unit costs are your competitive edge. We treat them as confidential everywhere, including our own logs, which never record dollar amounts, unit costs, markups or spec text.

The app runs on Vercel. Accounts, projects, takeoffs, pricing and bids are stored in a managed PostgreSQL database at Supabase. Uploaded PDFs are stored in Cloudflare R2 object storage. Email is sent through Resend.

Your company's data stays separate

Every record belongs to one company, and the database itself enforces that, not just the app. Someone in another company can't read or change your data by any path. Inside your company, access follows roles: owner, chief estimator, estimator and viewer. Viewers can look but can't change anything.

What is sent to AI, and what isn't

Two features use an AI provider, Anthropic's Claude API: the spec risk scanner and the drawing index check.

  • Sent: the text of your project manual, to find clauses such as liquidated damages and retainage, and the image of the drawing index sheet, to check for missing sheets.
  • Never sent: your pricing, unit costs, markups, bid totals and takeoff quantities, and your other drawing sheets.

Under Anthropic's commercial terms, content sent through the API isn't used to train models, and it is kept only briefly for safety monitoring before it's deleted. See Anthropic's commercial terms and privacy center for the current details.

Keeping and deleting data

  • You decide how long projects are kept. Nothing is deleted on a timer.
  • Deleted takeoffs and line items go to a recycle bin first. Owners and chief estimators can delete them for good.
  • A stored PDF is removed once no project uses it any more.
  • If you close your account, we remove your company's data from the database and file storage within 30 days. Backups may hold a deleted item until they rotate out.
  • To have an early-access request removed, ask us and we'll delete it.

Selling and sharing

We don't sell your data and we don't share it with advertisers. The providers named above process it only to run the service.
